This individual will be a partner on our high performing five member HR team and ensure our health system caregivers are supported throughout the organization.

POSITION PURPOSE (Summary)

The HR Generalist is responsible for a variety of HR functions that support our health system caregivers and our entire HR team. They are the first entry point for our team member’s HR needs. In addition to general HR customer service, this position will focus on: the Employee Onboarding experience, regulatory compliance requirements, employee engagement and recognition initiatives and organizational education initiatives. The HR Generalist assists and advises leadership and staff on accurate interpretation of current HR policies and procedures and provides general HR support and customer service. This position may be requested to participate in employee relations, as needed. Maintains confidentiality of all information and excellent customer service. Partners with all members of the Human Resources department to be a vibrant presence in the organization, embodying and championing GVH Mission, ICARE Values and GVH Performance Standards.

POSITION QUALIFICATIONS

Education: High school diploma or equivalent required. Bachelor’s degree in Human Resources or related field, preferred.

Experience: One (1) year of Human Resources experience required, preferably as a generalist. 3-5 years of HR experience preferred. Healthcare experience preferred. Experience with employee relations preferred. Ability to work effectively under stress of meeting deadlines and responding and adapting to change. Ability to relate well with health system employees, physicians, board members and visitors. Demonstrated excellent customer service skills.  Proficient word processing, spreadsheet and presentation software skills.

Licenses/Certification: SHRM-CP or PHR preferred.

ESSENTIAL FUNCTIONS

Onboarding: Provides a professional, effective, efficient and enriching new employee onboarding experience to all new hires as an introduction to the GVH team and culture.

  • Facilitates new-hire processing once offers of employment are accepted: processes drug testing, criminal history checks and sanctions in a timely fashion and collects references, Personnel Action Forms, licensure and necessary certifications prior to first day.
  • Coordinates all new hire first day onboarding functions. Meets with all new employees on their first day of work and guides them through onboarding day. Collects necessary new hire paperwork: I-9, W4, Colorado Affidavit, Mid-month packet, signed policies, etc.
  • Coordinates attendance of “GVH Connect”/Orientation day. Prepares new employee orientation packets for new health system staff. Prepares room, orders food, receives RSVP’s, reminds GVH Connect Presenters, while ensuring new employees are engaged and comfortable throughout the day. Problem solves through any unexpected changes in schedule.
  • Manages process for guiding Shadows, Observers, Interns, Students, Volunteers etc, through our regulatory requirements.
  • Orchestrates Leadership Onboarding schedules within our current process. Provides suggestions for continuous improvement of our leadership onboarding experience to ensure leaders are introduced to GVH with all they need to be successful within their first 30-90 days.
  • Manages the StartRight Interview process and relationship. Provides quarterly updates to the HR Director regarding feedback we are receiving and any trends identified. As requested, collaborates with HR Director and Executive over each department to address any concerns with the leader of each area.
  • Adopts working knowledge of all GVH benefits and perks and collaborates with new employees on eligibility for insurance and retirement benefits, collaborates with vendors and Benefits Administrator when appropriate.

Compliance: Management of Employee Hard Files in Human Resources

  • Creates new employee files ensuring accuracy and completeness for regulatory requirements including Joint Commission and/or state requirements. Maintains accuracy of employee files going forward once created.
  • Processes and files all incoming data appropriately in employee files and HRIS system. Files hard copies chronologically with the newest items on top.
  • Tracks, monitors, and solicits updated copies of all licensure, competencies, certifications and BLS/CPR cards from Directors and employees, for all GVH entities. Runs and prints primary source verification when licensure is renewed and files documentation in personnel file for compliance. Updates licensure in HRIS & LMS software. Runs list monthly to ensure ongoing compliance and that all healthcare providers are licensed to provide care to our patients.
  • Communicates monthly to Directors and employees having expiring licensure ensuring that renewals are updated and in the employee files in a timely manner.
  • Informs HR Director and individual department director of any delays or delinquencies of employee required licensure, certifications, registrations to ensure there are no employees working without the required active licenses or certifications.
  • Performs continuous HR File Tracers to maintain our survey readiness in HR.
  • Stays well informed of relevant skill and qualification levels required for staff to ensure compliance and effective performance. Distributes requirements and relevant information to the organization as appropriate.
  • Adopts a strong competency in our HRIS system and supports managers and employees with their HRIS experience.
  • Assists Benefits Administrator with quarterly hours, status and benefits audits and other ACA Requirements.
  • Supports in maintaining file accuracy within HRIS, LMS and paper formats in real time.

Housing:

  • Collaborates with managing GVH Corporate Housing application process following priority as outlined in GVH Housing Policies
  • Manages the GVH Housing calendar reservations and cleaning schedule.
  • Maintains list of employees requesting housing assistance and ensures ongoing updates and communication of process, policies and anticipated schedule openings.
  • Ensures rental fee process is followed.

 

Employee Engagement & Recognition:

  • Identifies and suggests ongoing employee engagement opportunities to promote culture of high performance, continuous learning, fun, recognition and celebrating our successes.
  • Coordinates approved employee recognition events as agreed upon by HR Director and/or Marketing Director.
  • Identifies opportunities for recognition and celebration via intranet and external social media platforms and partners with HR and Marketing Director to propose plans and execute as approved.
  • Manages “Caught Caring” program by tracking nominations, creating certificates, obtaining necessary signatures, distributing to E-Team member, submitting nominations for monthly most outstanding and coordinating recognition opportunity at Leadership team meeting and on the GVH Intranet.
  • Continues to learn and grow in the employee engagement field while providing suggestions to the team for opportunities.
  • Assists with organizing and orchestrating the coordination of any other employee recognition events by partnering with Marketing team (when necessary) to create communication flyers, emails and intranet posts. Partners with HR Director and team to arrange meeting times and communicate the events.
  • May be asked to facilitate annual Employee Engagement Survey process support by creating master file of participants, encouraging participation, becoming knowledgeable of Press Ganey EE portal and analyzing results to support leadership.
  • Manages the ExitRight Exit Interview process and relationship. Provides quarterly updates to the HR Director regarding feedback we are receiving and any trends identified. Partners with the HR Director and Executive over each department to address any concerns with the leader of each area.

Training & Education:

  • GVHS On-Line Learning Administration: Enters new and deactivates termed employees in the on-line learning systems (Healthstream, Relias, Home Care Institute). Tracks completion of employee on-line learning.  Maintains appropriate records of course completion in employee files. Assigns courses to participants as directed by the HR Director and/or HR team. Informs HR Director of on-line learning system problems, when unresolved by the providing contractor. Informs HR Director and individual department directors of progress of employee completion/delinquency of assigned courses.
  • Provides support to the Leadership Development and Staff Development org-wide education initiatives. May be asked to conduct research on educational opportunities identified, research and propose facilitators, schedule logistics with venues, speakers, refreshments, etc.
  • Creates follow-up feedback forms and collects feedback to provide back to HR and Executive Team.
  • May be asked to identify and evaluate future and current training needs through job analysis, career discussions and consultation with directors/managers/supervisors.

General Customer Service:

  • Creates an image of helpfulness and proper guidance with all HR situations that arise. Organizes work area to insure a positive visual image of completeness of work. Insures work is neat, clear and accessible for Director and HR Team when absent.
  • Communicates and resolves problems in a calm, helpful manner. Shows forward vision by offering ideas for more efficient processes.    
  • Processes all verification of employment requests in a timely manner.
  • Enters all employee benefit enrollments and changes in the appropriate site for insurance coverages.
  • Provides HR Director with monthly data requested for reporting file compliance issues to the Environment of Care committee.
  • Assists in term process of employees and creates process for collecting badge, keys, GVH property.
  • Assists employees with HR forms and instructions as needed. Assures necessary forms are in stock, and general access folders of forms are filled on a regular basis.
  • Uploads credit card receipts in a timely manner prior to month end and assigns appropriate notes and GL’s to HR Director to approve on a Monthly basis.
  • Reviews new HR invoices, assigns appropriate GL and submits to HR Director for approval on a weekly basis by Wednesday morning.

Employee Relations:

  • Level of responsibility in this function will be evaluated and determined after 6 months of employment and will depend on skill set.

HR Team Member:

  • Partners with all members of the Human Resources department to be a vibrant presence in the organization, embodying and championing GVH Mission, ICARE Values and GVH Performance Standards.
  • Serves as a member of the larger HR team on projects as needed and requested.

Participates in drills and emergency response training. May be called in for GVH disaster response.

Other duties as assigned.

Benefits Eligibility & Compensation

Compensation: $24.32/hr - $36.63/hr, depending on experience.

Medical, dental, vision, health care FSA, and dependent care FSA: All active employees working 40 or more hours per pay period are eligible for benefits on the first of the month following date of hire.  PRN staff are not initially eligible for benefits, and GVH follows all Affordable Health Care Act Eligibility guidelines.
