Work Hours: M-F 8-5pm


This position will be the point person for clinic flow and daily operations.   Responsible to provide clerical support to the back and front office of the Clinic.  Responsible for the coordination of patient information and billing information. Checks patients’ insurance eligibility and obtains pre-authorization for services.  This position requires the use of multiple software applications, attention to details and exceptional interpersonal and organizational skills.

Education: High school diploma or equivalent required

Experience: Experience in a healthcare office setting required.  One year experience in customer service, and healthcare front office preferred.  Must have a working knowledge of medical terminology.  Experience with computer system and business software is necessary.

Care Associate Functions:

  • Greet patients in a friendly and helpful manner.
  • Responds to phone calls and voicemails in a timely manner.
  • Insure front area is presentable for our patients. Report any maintenance needed to Practice Director.
  • Performs assignments and conducts themselves in a courteous, caring, and professional manner at all times.
  • 100% cooperation/contribution in attainment of departmental objectives through teamwork.
  • Good inter-personal relationships with patients, visitors, doctors, co-workers, and supervisory staff.
  • New ideas to improve patient services are generated and implemented.
  • Observes professional ethics in maintaining confidential information concerning the personal, financial, medical, or employment status of a patient of GVH and their families.
  • Responsible for keeping the reception desk top and front lobby table areas organized with regard to literature available to GVHFM guests and family.  Responsible for recognizing and eliminating any advertisements left in the area that are not related to GVH services or approved for hospital distribution.
  • Provides and maintains effective communication with medical staff, the community and all levels of management and staff

Assists Practice Director in developing departmental goals and objectives

Facilitator for GVH Family Medicine Clinic’s back and front office and promotes an environment where employees work effectively as a team.

Seeks input from staff regarding decisions that impact their work

Coordinates provider schedules in the EMR (open schedule templates, review for accuracy, coordinate with practice manager for PTO requests)

Maintain schedule efficiency throughout clinic day and work closely with outsourced scheduling group for refined workflows

Build scheduled templates for staffing, call schedules, after hours call availability, etc.

Create and maintain Policy and Procedure manual including real time updates.

Training staff on clerical items (could include MA’s as well as Care Associates)

Insurance expert – authorizations, eligibility, claim review assigned to FMC staff.

Communicate any insurance changes to the Practice Manager

Identify areas of opportunity to Practice Manager and Clinic Supervisor

Demonstrates an ability to support and implement effective change in order to enhance organizational performance.

Demonstrates the ability to work with others toward a shared purpose or goal by collaborating, partnering, or cooperating with others.

Assists in special departmental projects, statistical and analytical.

Attends all required meetings and in-services

Review after hours calls and place into the EMR data reports

Develop and revise front office processes and procedures

Assist the Practice Manager with tasks related to Clinic operations.  This includes implementing policies and procedures for departmental operations.

Compensation: $24.23/hr - $27.87/hr, depending on experience.

Benefits Eligibility

Medical, dental, vision, health care FSA, and dependent care FSA: All active employees working 40 or more hours per pay period are eligible for benefits on the first of the month following 30 days of active service.

Life and AD&D insurance: All active employees working 40 or more hours per pay period are eligible for benefits on the first of the month following or coinciding with 30 days of active service.

Short-term and long-term disability: All active employees working 60 or more hours per pay period are eligible for benefits on the first of the month following or coinciding with 30 days of active service.
